ADMINISTRATION RECEPTIONIST

POSITION DESCRIPTION

The Administration Receptionist is responsible for general receptionist and administrative office support functions.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Greets, directs and otherwise assists visitors
  2. Answers and directs incoming telephone calls
  3. Lends clerical support to the Tribal staff as needed
  4. Receives and distributes telephonic facsimiles (faxes)
  5. Sorts, logs and distributes incoming U.S. Mail
  6. Gathers and dispatches outgoing U.S. Mail
  7. Maintains scheduling-board for the Conference Room / Council Chambers
  8. Posts the agenda and other official announcements
  9. Maintains Administration Personnel in/out board
  10. Completes the Application for Privilege Tax Exemption, as requested
  11. Assists with developing purchase orders for office stationary, equipment or services
  12. Ensures that supplies are readily available when needed, such as copier paper, fax machine paper and timecards, monitors copy machines for jams, paper and other operational problems
  13. Contacts vendors for various office machines as the need arises
  14. Initiates monthly payment for the copier service and the postage machine
  15. Type’s correspondence as other duties permit
  16. Other job related duties as assigned by the supervisor

QUALIFICATION REQUIREMENTS

  1. High School Diploma or GED equivalent with two (2) or more years as a receptionist, front desk or clerical/secretarial experience
  2. Excellent customer service skills
